Your data

What we do with your data.

This page lists what happens to your information at each step, in plain words. It describes the code as it runs today. If something here is not true, that is a bug and we will fix the code, not the wording.

Everything we store sits in a Supabase database in Japan and is served through Vercel. It stays there until you ask us to delete it. The privacy policy covers the legal side; this page covers the practical one.

When you upload a schedule

Your file

Read by your browser, on your computer. It is never uploaded. No copy of it reaches our servers, our database, our logs or our analytics.

What we read

Address, suburb, postcode, weekly rent and management fee for each property. Nothing else in the file is read, including any tenant or landlord names it may contain.

Street addresses

Before anything is scored you choose whether to remove them. If you remove them, each property is reduced to its suburb and postcode and the street address is discarded. If you keep them, they stay on your computer and are stored only if you save an audit or create a listing, as described below.

Sent to us

To calculate the score, your browser sends the suburb, postcode, weekly rent and fee for each property, plus the arrears, vacancy, compliance and landlord figures you enter. Street addresses are never sent, whether you kept them or not. The score is calculated and the figures are not kept by that step.

When a score is produced

Stored

Every completed score is recorded so we can see how the score behaves across books. The record holds the score, the totals it was built from (doors, income, average fee, density), the per-property suburb, postcode, rent and fee, the state and office postcode, and the arrears, vacancy, fee and compliance figures you entered.

Not stored

Street addresses, unit numbers, landlord or tenant names, and the file.

Linked to you

If you are signed in, the record carries your account. If you gave an email to see your score, it carries that email. Otherwise it carries neither.

Written summary

The short written summary of your score is produced by Google Gemini. It receives the score and the totals above. It does not receive property-level data.

Your email

If you give one, we store it with the score and add it to our contact list so we can write to you about RolliScore and the marketplace. Every email we send that way carries an unsubscribe link.

When you save an audit or create a listing

Stored

The full property schedule as you confirmed it: suburb, postcode, rent and fee for each property, and the street address only if you chose to keep it. Properties you redacted hold the suburb alone.

Who can see it

A saved audit is private to your account. Nobody else, including us through the normal product, can open it.

On your computer

If you press Save or List before signing in, your browser keeps a copy of the schedule in its own storage so you do not lose it while you sign in. That copy is on your computer, not with us.

When your listing is live

Buyers see

The score, the totals, and for each property its postcode, weekly rent and fee. Street addresses and suburbs are never shown on a listing, even if you kept them.

Buyers do not see

Who you are. Your name and agency are hidden unless you switch anonymity off on the listing yourself.

Your identity

A buyer learns who you are only after they sign the NDA and you accept it. Until you accept, they see "Private Vendor". You see who they are once they sign.

Data room

Documents you add to a listing's data room can be opened only by buyers whose NDA you have accepted, and only while that access stands. You can revoke it at any time.

Removing your data

You can delete a saved audit or a listing from your dashboard. To remove a score record, your email, or your account entirely, write to hello@rentrolli.com and we will do it.
